Power BI creates the workspace and opens it. It appears in the list of workspaces you're a member of. Because you're an admin, you can click the ellipsis (…) to go back and make changes to it, adding new members or changing their permissions.
It's empty, so start adding content to it. Adding content is just like adding content to your personal workspace (My Workspace), except the other people in the workspace can see and work on it, too. You can upload or connect to files, or connect to services from other companies, just as you would in your own personal workspace.
Note: You can only publish an app from an app workspace – you can't use My Workspace to publish apps.
Distribute an app
When you've finished creating and perfecting the dashboards and reports in your app workspace, you can publish the app to your end users.
1. In the workspace, click the Publish app button in the upper right to start the process of sharing all the content in that workspace.
2. First on Details, fill in the description to help people find the app. You can set a background color to personalize it. The app automatically uses the image of the workspace as the image for the app. To learn how to change this image, click here.
3. Next, on Content, you see the content that's going to be published as part of the app – everything that's in that workspace. You can also set the landing page – the dashboard or report people will see first when they go to your app. You can choose None. Note: Content that originated from copying an organizational content pack cannot be published as part of an app.

4. The last step is to decide who has access to this app: either everyone in your organization, or specific people or groups, defined by their email.
5. When you click Finish, you see a message confirming it's ready to publish.

Installing the app
End users can install the app in a couple of ways.
First, you can share that URL with them. The first time they go to the URL, they're asked if they want to install the app. If they click Add, it's added to the Apps section of their Power BI site.
Second, they can click Get apps in the Apps section of the Power BI service. Microsoft AppSource opens, where they see all the apps that have been shared with them, including the app that you most recently shared with them. If the organization has a lot of apps, they may need to search for it.
Either way, after that whenever they go to Apps, they'll see this app in their list.
They can also install the app from their iOS, Android, or Windows device by clicking the link in the email. The app installs automatically and opens in the default landing page.
Update your published app
You can make changes to the app by navigating to the corresponding app workspace.
1. Open the workspace where you created the app.
2. You can make any changes you want to the dashboards and reports in the app. Note: These changes are not pushed to the app until you publish again. This lets you make changes without affecting the published apps.
3. Once you are happy with the content, go back to the app workspace list of contents and click Publish app.
4. Update Details, Content, and Access, if you need to, then click Update app.

Unpublish the app

FAQ
1. How are app workspaces different from group workspaces?
With this release, we have renamed all group workspaces to app workspaces. You can publish an app from any of these workspaces. We plan on the following enhancements to app workspaces:
- Creating app workspaces will not create corresponding entities in O365 like group workspaces do today. So you can create any number of app workspaces without worrying about different O365 groups being created behind the scenes. (You can still use an O365 group's OneDrive for Business to store your files.)
- Today, you can add only individuals to the members and admin lists. In the next iteration you will be able to add multiple AD security groups or modern groups to these lists for easier management.
2. How are apps different from organizational content packs?
Apps are an evolution and simplification of content packs. There are a few major differences.
- Once installed, content packs lose their grouped identity. The end users just see a list of dashboards and reports. Apps, on the other hand, maintain their grouping and identity even after installation. This makes it very easy for end users to navigate content over time.
- You can create multiple content packs from any workspace. But apps are 1:1 with workspaces. We believe that this change will make apps easier to understand and maintain over the long run. See the roadmap section below on how we plan to improve functionality around this area.
Over time, we will invest in adding new features to apps. If you are using organizational content packs today, we recommend that you evaluate apps to see if they are more suited to your deployment scenarios.
3. What about read-only groups?
Read-only groups allow you to add members who can only view the content. The main problem with this approach was that you couldn't add security groups as members.
With apps, you will be able to publish a read-only version of your workspace to large audiences including security groups. You will also be able to stage your changes to dashboards and reports without affecting end users. We recommend that you use apps for these scenarios going forward.
Roadmap
Apps are our solution to enterprise-scale distribution of content in Power BI. We plan to add the following functionality to apps in the coming months to enhance the functionality and solve for commonly asked scenarios.
Improvements to app workspaces (Roadmap Item – not yet implemented)
We plan on the following enhancements to app workspaces:

Directly push apps to end users (available since February 2018)
End users can install apps by clicking the link or visiting Microsoft AppsSource. But many organizations would like to push apps directly to end users.
An organization can designate individuals who have the capability to push apps directly to end users or security groups without requiring an installation. So, for example, when a new salesperson joins the team, they will automatically get the Sales Metrics app without doing anything on their end.
Selective publish from your workspace (available since November 2017)
With this change, you will be able to publish only items that are finished and prevent incomplete dashboards or reports from being published.
Copy between workspaces (Roadmap item – not yet implemented)
You will be able to copy/move dashboards, reports, and datasets from one workspace to another.
Alerts and email subscriptions (Completed)
You will be able to subscribe to alerts and emails subscriptions for the dashboards and reports inside apps.
External sharing (Available since November 2017)
You are able to share apps to your partner organizations using Azure B2B.
Service content packs (Available since November 2017)
In addition to apps published by others in your organization, you can get apps based on other services you use, similar to the service content packs you use in Power BI today.
